Self-employed invoice

Last updated: 2026-10-31 · Docmoor

Self-employed people can be sole traders, partners or company directors. The invoice should make clear who is supplying the work, what was supplied, and how much is due.

Self-employed invoice checklist

  • Your business name (or your name and trading name) and address
  • The client's name and billing address
  • A unique invoice number and the invoice date
  • A clear description of the work and the period covered
  • The amount due, payment terms and due date
  • VAT details only if VAT registered

Records for the self-employed

Keep records of income and expenses, invoices issued and payments received. If you are VAT registered, keep VAT records. Records may be needed for Self Assessment and for HMRC checks; check current guidance for how long to keep them.

Frequently asked questions

Do self-employed people need to issue invoices?

You should provide a record of the work and amount due. A clear invoice is the normal way to do this, especially for business clients who need it for their own records.

Can I use the same template as a freelancer?

Yes. Freelancers are often self-employed, and the same invoice layout works. Adjust the wording and payment terms to your engagement.
